    HR Coordinator

    JOB PURPOSE:


    • Responsible for day to day administration of the HRMS, Payroll process and inputs, its routines to facilitate
      accurate timely month end payroll and reconciliation, closing of process performed as per required standards
      and is carried out in conjunction with the strategic objectives of the Business.
    • Payroll support with focus on 'service culture' especially follows up on issues, forward planning and communication
      excellence, Coordination of miscellaneous correspondence with employees regarding routine inquiries or assistance
      within maximum 72 hours.
    • Systematic reporting and procedural control to assure the free -flow of information and timely responses to
      requirement of assigned jobs and responsibilities that covers Payroll and Projects. Overall maintaining 100%
      accuracy of HRMS, HCM and related data management inline with the set standards as per routine audits.
    • To provide recruitment support in the complete A to Z recruitment cycle plus administration assistance as
      required

    ACCOUNTABILITY


    Recruitment


    • Assists in the completion of the end-to-end Recruitment Process in compliance with the Company’s*guidelines: Employee Requisition Forms (ERF), Approvals, Recruitment Briefs, ATS, Advertising, Sourcing,*Shortlisting, Interviewing, Evaluating, Offering and Regretting
    • Assists in the drafting and implementation of Recruitment Plans in line with the requirements of Business*Projects, new and on-going
    • Assists in the development, maintenance and management of a Talent Bank
    • Processes Employment Offer Letters, Employment Agreements, Employee Change of Status, Employee*Requisition Forms and other administration documents and forms as required

    HR Operation


    • Communication and follow up to assure efficient processes, anticipate and resolve common problems/productivity
      bottlenecks to contractual compensation & benefits as per process and procedures, facilitates with*providing assistance in relations to end of settlement information.
    • Liaises with Heads of Departments and Assistants to where applicable in providing understanding of Human
      Resources policies, procedures and compliance related to payroll and benefits.
    • Assists in supporting where applicable in conducting investigations relating to grievances, infractions, gross*misconducts, and presents the findings to the Human Resources Manager in an organized and logical manner*and supported by evidence
    • Sound administration of as per Audit standards set for all new joiner activities to ensure smooth progress and good record
      keeping and update of the HRMS system.
    • Upkeep and update of PeopleWise and HCM data as per Agility standards.
    • Coordinate the visa cancellation process and ticket booking advise for all associates who leave our employment as*applicable.
    • Responsible to ensure that Agility HR Audit standards are maintained with 100% accuracy for your area of responsibility

    Payroll


    • Ensues all key payroll functions are accurate, timely closing of payroll every month with correct postings of annual leave,*air tickets payments, incentive payment, deductions, bank reconciliations etc.
    • Assist with bench marking initiatives and provide input for salary, benefits alignments and competitor surveys. Administer*all key payroll input that covers accurate, correct postings on annual leave, air tickets payments and amendments to
      costing reports as advised.
    • Responsible for the timely follow through of all documentation process involving the starters, salary changes ( contract,
      documentation etc)*

    MBO’s


    • Monitors the achievement of departmental objectives and gathers evidences pertaining to the same*

    Reports


    • Completes HR daily, weekly or monthly reporting in line with set timescales
    • Assist in completing payroll reports (headcount reports, ticketing reports, mobile bill generation and updates, etc)
    • Print and Distribute Pay slips.
    • Responsible for coordination of overtime reports for the teams with verifications and upload into the system.


    Administration


    • Assists in the review and update of standard forms (for leave, benefits, appraisals etc).
    • Assists in the management and control of departmental expenditure within agreed budgets
    • Assists in the implementation of HR Policies and procedures
    • Assists in organizing formal communication channels between the Company and the employees ranging from*departmental meeting to regular surveys. Processes the results and drafts action plans for addressing areas of*concern
    • Responsible for the accurate update and maintenance of employees’ records in accordance with UAE Labor*Law and Auditing procedures
    • Supports with calculation of Final Settlements and check those prior to being approval by the Human*Resources Manager
    • Drafts and distributes informative documents and announcements (new employees, promotions, transfers,*posters to advertise various HR initiatives)


    Miscellaneous


    • Executes the responsibilities of a HR Coordinator according to lawful and ethical standards, as referenced in*Dubai’s Laws and Company’s policies
    • Contributes, as a successful synergy of all the above duties, into reducing overall turnover.
    • Promotes initiatives about employees’ welfare, wellness, health and general wellbeing.
    • Follow up and record keeping, ensuring accountability, accuracy and effectiveness of all assigned responsibilities.
    • Accurate update and upkeep of Trackers covering both new joiners and leavers
    • Initiates improvements in all areas and aspects of Human Resources operations (from software to people*development)
    • Ensures compliance to health, safety and quality regulations
    • Interacts with all employees and leads by example: consults, motivates, inspires, and promotes Company’s
      Values: Integrity, Teamwork, Ownership and Excellence.
